Viewing Documents

 

This section shows the key information about the product. - If you wish to change any of this information, you will need to use the Windows client.

 

 

• Type - The main category of the document.
• Number - Each document number is unique and can be used to search for the document.
• Owner - Usually the person who has overall responsibility for the document.
• Title - The document's attachment. Click the blue hyperlink to view it. Please note that if the document has multiple attachments, you will have to download and unzip them to view them.
  • Please note that if your administrator has activated the feature and the attachment is a PDF, it will open in the Q-Pulse PDF viewer. You will not be able to save the PDF unless you have permission to do so. If you want to print the PDF or copy part of its text, you will need to use the Q-Pulse Windows client (and be assigned the appropriate permission).
  • If you have the Q-Pulse MS Word plugin installed, you may notice some information from the Document record (e.g. the owner or the change details). For more information, see the Q-Pulse / MS Word plugin topic in the Q-Pulse help file.
• Revision - The revision number of the document you are viewing. As the document is revised, previous versions will become obsolete or inactive. - These can still be viewed from the Windows client.
• Author - Usually the person who created the document. This might be the same person as the owner.
• Status - The register where the document can be found. In the Web module, you can view draft, draft approved or active documents.
  • Draft - If the document needs to be approved before it is released, it will start in the draft register. Once approved, it can then move to either the draft approved or active register.
  • Draft Approved - If the document has any actions that need to be performed, these are performed in the draft approved register. Not all documents will have actions or an actions section.
  • Active - Documents that are fully approved and any actions have been completed and generally available. Any specified copyholders will need to acknowledge receipt of it.

 

 

The Approved By section displays all the people who have approved / are yet to approve a document, as well as whether they have accepted or rejected the document. You can view any comments made against the document by clicking View Comments.

 

You can view a full history of all the approvals and comments made against the document by clicking the icon.

Please note that not all documents will have an actions section. - Please consult the documents section of the Q-Pulse Windows client help file for more information on how to assign actions to documents.

 

Actions allow key tasks, such as training or performing impact assessments to be performed after the document has been approved but before it is made generally available.

 

Actions can be added / edited during the draft / draft approved stages, and then completed during the draft approved / active stages. For more information, see Adding and Performing Actions.

 

 

Whenever a user spots a problem or identifies a change needing made to a document, they should raise a change request it. This section lets you view all change requests made against the current revision. Click the icon to view all change requests made against previous revisions of the document.

 

Please note that you can only raise change requests against active documents. For more information, see Adding / Editing Change Requests.

 

 

Any document signatures which have been applied to the document will be displayed. For more information, see Electronic Signatures.

 

 

The Q-Pulse Windows client lets you relate similar documents together. If document A has been related to document B, then both documents' details view will show its related document.

 

To open the related document's details view, click its icon. To open its primary attachment, click the blue hyperlink.
